Registration and Waitlist Information

Khalsa School Calgary

Registration and Admissions Policy

1. Pre-Registration

Parents interested in enrolling their child at Khalsa School Calgary must complete a Pre-Registration Form. Submission of this form does not guarantee an assessment appointment or admission. Placement is subject to space availability and successful completion of the school’s admissions assessment requirements.

Applications are processed according to the school’s admissions priorities and the availability of seats at each grade level.

2. Returning Student Registration

Registration packages for returning students are distributed in January each year and must be submitted by the mid-February deadline outlined in the registration materials.

Multiple reminders are issued before the deadline. Failure to submit the required re-registration package by the stated deadline may result in the student’s seat being released.

Late submissions will be reviewed by the Principal based on space availability. If the grade level has reached capacity, the student may be placed on a waitlist.

Once the re-registration period closes and returning student numbers are confirmed, the school determines which grade levels may have spaces available for new applicants.

3. Registration and Assessment Timeline

Khalsa School Calgary follows the general timeline below each year:

  • January: Re-registration packages are distributed to families of current students.
  • Mid-February: Completed re-registration packages are due.
  • Late February through March: Entrance assessments for new applicants begin and continue as spaces are available.
  • March onward: Assessments and admission offers continue until available seats at each grade level are filled.
  • May through August: The school maintains waitlists and contacts families if spaces become available due to withdrawals or changes in enrolment.

The timeline may vary depending on application volume, grade-level capacity and changes in enrolment.

Parents are encouraged to submit their Pre-Registration Forms early and consider alternative school arrangements while awaiting an assessment appointment or admission decision. Submission of an application or completion of an assessment does not guarantee a seat.

4. Sibling and Staff Priority

After returning student numbers have been confirmed, priority consideration is given to siblings of current students and children of staff members, subject to space availability.

Priority consideration includes earlier access to the admissions process and priority scheduling of entrance assessments ahead of general public applicants.

Sibling or staff status does not guarantee admission. All applicants, including siblings and children of staff, must meet the school’s entrance assessment requirements and are subject to available space.

Once the initial priority consideration has been completed and a waitlist is established, applicants are placed on the waitlist according to the date and time their Pre-Registration Form was received. Sibling or staff status does not automatically move an applicant ahead of other families on an established waitlist.

5. General Public Applicants

If spaces remain after priority applicants have been considered, applications from the general public are processed according to the date and time the Pre-Registration Form was received, subject to the school’s admissions requirements and available space.

Submitting an application does not guarantee an assessment appointment or admission.

6. Entrance Assessments and Admission Decisions

All applicants are required to complete an admissions assessment. A minimum score of 60% is required for admission consideration.

In addition to academic readiness, the school considers the student’s ability to follow directions, interact appropriately and engage during the assessment process.

A non-refundable assessment fee of $25 applies.

After the family has been contacted by the school, assessments are scheduled through the Student Services Coordinator. Due to the volume of applicants and the structured admissions process, reassessments are not offered during the same admissions cycle.

Successful applicants

Parents are informed of the assessment result at the time of the assessment. Students who meet the school’s admission requirements and for whom a seat is available are provided with a registration package. The package must be completed and returned within the deadline provided by the school to secure the offered seat.

Meeting the minimum assessment score does not guarantee admission if the grade level has reached capacity.

Applicants who do not meet the assessment requirements

Parents are informed of the areas requiring further development. Families may be encouraged to work on these areas before applying again for the following school year. A new application and assessment may be required, and future admission is not guaranteed.

7. Kindergarten Admissions

Parents applying for Kindergarten must complete a Pre-Registration Form. Children must meet Alberta Education’s applicable age requirements.

Sibling and staff applicants receive priority consideration in assessment scheduling, subject to space availability. All Kindergarten applicants must complete the school’s admissions assessment requirements.

Remaining seats are offered according to the school’s admissions priorities and, for general public applicants, the date and time the Pre-Registration Form was received.

8. Waitlist Procedure

Khalsa School Calgary maintains class size limits at each grade level. When applications exceed the number of available seats, eligible applicants may be placed on a waitlist.

Sibling and staff priority is considered during the initial admissions process. Once the applicable priority consideration has been completed and a waitlist is established, applicants are placed on the waitlist according to the date and time their Pre-Registration Form was received. This order is maintained when determining who will be contacted if a space becomes available.

Sibling or staff status does not automatically move an applicant ahead of other families on an established waitlist.

The school does not disclose specific waitlist positions, as available spaces may change due to withdrawals and changes in enrolment.

When all seats in a grade level have been filled, the Office Administrator will email families on the waitlist to advise that the grade is full and no further spaces are currently available.

The school may maintain the waitlist from May through August. If a seat becomes available, the Office Administrator will contact families by telephone, followed by an email, in accordance with the established waitlist order to confirm whether they remain interested. Where applicable, an assessment will then be scheduled through the Student Services Coordinator.

Waitlists do not carry forward to the following school year. Families wishing to apply for the next school year must submit a new Pre-Registration Form during the next registration cycle.

9. Parent Communication

The school communicates assessment appointments, assessment outcomes, registration packages and waitlist updates directly to families using the contact information provided on their application.

Parents are responsible for ensuring that their contact information remains current and responding to the school within the stated deadlines.

Families are encouraged to consider alternative school arrangements while waiting for an assessment appointment or admission offer. A seat is not secured until the school has issued an offer and the family has completed the required registration steps within the specified deadline.
